To ensure a smooth onboarding experience, we have outlined in this document important steps to import your data correctly.
Keywords and Sections on the data import template:
The Companies, LPs, and Investors tabs represent different pipelines. Rename each tab with the desired pipeline name and specify whether it's created on the Edda platform or a new one. For example, use EU Tech Fund LPs (Already created on Edda)' or EU tech Fund (Not created on Edda)'. If you have multiple pipelines, copy the tab, rename it accordingly, and fill in the data.
Contacts tab, use this section to add contacts who work at a company/deal as part of their team. Please add any general contacts you may have such as sources. You will find these contacts on the company profile page under the team members section. Please note that these contacts will be added to our “Contacts” module.
Crunchbase tab, Use this section if you want Crunchbase seeding. Check the box to indicate that you would like to have Crunchbase data filled in automatically then select which fields you would like us to fill/update. By default, we fill in Crunchbase data on companies. However, if you fill in a field in the template, we will not overwrite it. Please note that sometimes not all data points are provided by the company to Crunchbase. Therefore, the field will be blank.
Current Stage column: This column is dedicated to the current status of this opportunity. This will determine which stage the company will be initially stored in (e.g. Watchlist, New, Due diligence, etc.). If a stage doesn’t exist on your account, we will create it and add it to your workflow. Please let us know your workflow, possibly by adding another tab to this Excel sheet and naming it “Workflow”.
- What are repeated submissions?
When adding a company, you have four options:
- Create duplicate - completely separate company added with card on our dashboard
- Update existing - existing company data will be overwritten with data from file (potential issue: there's more than one exiting company with the same name, they all end up with the same data)
- Skip - we only import new companies, if we find existing company with the same name we skip it
- Repeated submission - all submissions should be ordered by date. For example company A applied in 2021 (will be on first line of excel) Company A applied again in 2022 (will be on second line of excel)
Indicate if there are companies sharing the same name by specifying whether they are separate instances or repeated submissions. (e.g. test co (separate entity), testco (actual submission), testco (1st sub), or testco (2nd sub)). This will help ensure that the information is clear.
Reference list:
- The date format must be consistent. In cases where no date is provided, the import date will be used instead.
- Owner, this is an internal team member who will be leading the deal or contact. Only email addresses are expected in this field.
- Providing clean data is crucial. Please avoid repeating information in formatted list fields like "Country". For example, instead of inputting "Britain", "England", and "UK", select one option. This will prevent issues with filters, reports and other features.
- Notes & Comments columns: To include several notes/comments, add new columns titled “Note 1”, “Note 2", and so on. Add all notes or comments columns in the following order: “Note 1”, “Note 2", “Comment1”, “Comment2", etc. Once you’ve added all Notes and Comments, you can begin to add the Custom fields. An example of how to format a note: text of the note, user@domain.us. If notes or comments are not associated with any user, the owner will be assigned by default. If no owner is found, the first administrator of the account will be assigned as the person who submitted the note or made the comment.
- Custom field column: You can add a custom field column at the end after all columns. Enter the field name, type, and specify whether it is mandatory or optional. Also, please indicate whether you have created it on the Edda platform or if you would like us to create a new one. Below that, you can enter the corresponding values. Be sure to separate the name, type, and other information with a comma.Here’s an example of a custom field: Partner preference, Short-text, Optional. (Already created on Edda).
Types of custom fields available: Amount, Date, Link, List, Short-text, Long-text, and Tag. - Tag fields: When adding a list of data points for a field please make sure that the delimiter you select isn’t a part of the content. For example a 'location' custom field, we can have 'Paris,France, Lisbon,Portugal' as two values, it will be imported as 4 separate values.
